Case Study
Three machines. Tight deadlines. A personally managed journey to Botswana.

How WISTS coordinated urgent cross-border transport for a machinery expo, navigating heavy rain, abnormal load restrictions and exceptionally short lead times.
Getting machinery to an exhibition requires careful coordination. When the transport requests arrive just days before the equipment is needed, every decision matters.
Our client needed three machines transported from Camperdown, South Africa, to a Machine Expo at Phakalane Golf Estate in Botswana. The brief arrived in two stages: the first request was confirmed on Friday morning, 9 October 2026, for delivery by Monday, 12 October. The second followed on Sunday evening and included a 26-ton excavator classified as an abnormal load.
With limited preparation time and additional requirements for the excavator, WISTS had to bring transport capacity, documentation, border clearance and stakeholder communication together quickly.
The challenge: limited time and complex requirements
The first priority was securing suitable transport at short notice and arranging collection of the first load on Friday evening.
At the same time, the team needed to coordinate the relevant permits and documentation, prepare for border clearance and keep all parties aligned with the delivery schedule.
The second request added another layer of complexity. Moving the 26-ton excavator required planning around abnormal load permit conditions, restricted travel hours and changing weather.
Heavy rainfall affected its movement. The operation was also restricted to daylight travel from Monday to Friday, reducing the available transit window. Progress depended on careful scheduling and continuous assessment of conditions.
The WISTS approach: plan ahead, stay connected and adapt
Mobilising transport at short notice
WISTS worked with its transport partners to secure suitable capacity and coordinate collection of the first load on Friday evening. Close coordination between the client, drivers and transporters kept the urgent collection on track.
Preparing for the border before arrival
Customs and clearance documentation was prepared, checked and supplied to the driver ahead of arrival at the border.
Working relationships with clearing agents and other stakeholders on both sides of the border helped the team coordinate requirements and avoid unnecessary clearance delays.
Monitoring every stage of the journey
The team tracked the first load throughout its journey, sharing GPS coordinates and progress reports with the client.
For the abnormal load, WISTS continually reviewed weather conditions, permitted travel windows and operational risks, adjusting the plan as conditions required.
Keeping communication clear and consistent
Dedicated WhatsApp groups connected the client, drivers, transport partners and border agents.
This gave everyone a shared channel for progress updates, essential documents and timely decisions. The client remained informed as the team managed each stage of the operation.
The outcome: equipment delivered and a satisfied client
The first load arrived within the required delivery timeframe. The project was completed successfully, with all three machines delivered for the expo despite the short lead times, heavy rainfall and abnormal load constraints.
The client expressed appreciation for WISTS’ responsiveness, commitment and willingness to go above and beyond to find a practical solution.
